Privacy, plainly.
This page explains how the current public site handles information. It is an operational overview, not a finalized legal privacy policy.
What you submit
The organization and school registration forms collect participation details and private contact information for review and follow-up. The community inquiry form collects your name, email, location and message. Submissions go to the Celebrate 3.21 team.
Optional newsletter
Organization and school registrants can separately and explicitly opt in to Beyond 3.21 newsletter updates; the box is optional and unchecked by default, and registration works without joining. If you opt in, your email address is processed through Brevo to send campaign updates. You can unsubscribe using the link in any campaign email. These newsletters are separate from messages needed to follow up about a registration.
Resource search trends
Popular resource searches are based on successful searches matched to existing resource tags. This feature does not save your raw search phrase, contact information or raw IP address. A secret-keyed network hash limits repeat votes to one per topic per network per day. Only the latest 30 days contribute to popularity; older records are removed when search activity or suggestions are processed. A topic needs interest from at least three separate networks before appearing as popular. When there is not enough activity, the starting points are labeled “Try searching” instead.
Unfinished registration progress
For businesses, schools, churches, families and other groups, we save registration progress privately even when a form is not submitted. This includes information you enter and leave in a field, choices you make, and ideas you select. Contact details you enter in a registration form may be saved for staff review. A successful Google lookup records your original search text; after selecting a listing, a Google Maps link can also be saved. We do not copy Google’s listing names, addresses, photos or other listing details into these unfinished records.
Unfinished entries are available only in the private staff area and are not automatically sent to Google Sheets or the newsletter service. New unfinished details are available for review for 30 days after their last update; expired details are deleted when progress tracking or staff review is next used. Completing registration removes the unfinished entry and keeps the submitted information with your registration. Only submission creates the registration: a newsletter or public-listing box ticked in an unfinished form is not treated as consent. Existing confirmed-business tracking described below is separate.
Optional Google business lookup
When you search for your business in Find Your Extra, your search text and a temporary lookup session identifier are sent through our server to Google Maps Platform. We do not send your private registration contact name, email or phone to Google. You can enter your business details manually instead.
The selected listing is held temporarily in this browser tab so you can review and edit the public business details. If you submit a registration, the details you confirm, the Google Place ID and the primary business type are recorded for staff review. Selecting a listing does not verify business ownership or automatically publish a business. We do not save raw Google responses or build a Google business directory.
Google Maps features are subject to the Google Maps/Google Earth Additional Terms of Service and the Google Privacy Policy.
Confirmed discovery visits
After you confirm a Google business or continue with manually entered organization details in Find Your Extra, we keep a separate private visit record even if you do not register. Google lookup records contain your original typed search text and a link based on the selected place ID—not a copy of Google's listing name, address, photos or complete response. Manual records contain the name and city/state you submitted. We also record the confirmation time, furthest step reached and whether registration was subsequently submitted. Family-category discovery is not included in this business visit tracker.
These records are stored separately from registrations and mirrored to a staff review Google Sheet through our server. Registration contact names, emails and phone numbers are not included in the sheet. An incomplete visit is not a registration, a public listing, newsletter consent or proof of business ownership. We do not record unfinished keystrokes or unconfirmed Google selections.
What appears publicly
Contacts are never shown publicly. Only approved organization details may appear on the site, such as name, type, website, city/state, description and participation choices. School groups are considered for the public participating list only if the separate, optional school listing consent is selected, and details are still reviewed before publication. Inquiries are not published; school stories require separate permission and review before any publication.
What this site doesn’t do
This site does not process online payments or create user accounts. Submitting a form does not create an official community or automatically publish an organization or school group.
Questions or requests
A dedicated general privacy contact has not been published yet. This information will be updated as policies and contact processes are finalized.
